About the Role:
- An ideal candidate should be able to provide administrative assistance to the CEO.
- As an executive assistant, you will be responsible for conducting research, making presentations, prepare reports, arrange travelling and handle information requests.
- You will also perform duties related to clerical work, preparing correspondence, arranging conference calls, scheduling meetings, taking notes at meetings, and running reports.
- The ideal candidate should be able to handle the workload and should be able to work in a fast-paced environment.
Responsibilities:
- Duties include but are not limited to: Multiple diary management local and International travel coordination.
- Booking and arranging travel, transport and accommodation.
- Provide administrative assistance, such as composing and editing emails, draft memos and prepare communication on behalf of the CEO.
- Organizing events and conferences Reminding the manager/executive of important tasks and deadlines Typing, compiling and preparing reports, presentations and correspondence.
- Maintain the company’s records, reports, and documents.
- Organize meetings by scheduling, sending reminders when necessary.
- Make outgoing calls on behalf of CEO when required.
- Manage CEO’s day to day calendar, make appointments and prioritize sensitive matters.
- Coordinate travel arrangements and create trip itineraries.
- Manage social media pages related to CEO
- Works closely and effectively with the CEO to keep him well informed of upcoming, managing an extremely active calendar of appointments.
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- Attend meetings and keep minutes of meetings.
- Receive and screen phone calls and redirect them when appropriate.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Handle confidential documents ensuring they remain secure.
- Prepare invoices or financial statements and provide assistance in bookkeeping.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Conduct research and prepare presentations or reports as assigned or required.
- Provides a bridge for smooth communication between CEO office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Sense for the issues taking place in the environment and keeping the CEO updated.
- Keeping the Director updated about the recent updates like emails, letters and information of similar nature.
- Keep and maintain an accurate record of papers and electronic correspondence on behalf of Director.
- Able to prepare all kind of documents, including Inter-office Memos, reports and presentations.
- Any other task assigned by the management.
Skills & Abilities:
- Proficiency in Windows, including MS Word, EXCEL and PowerPoint.
- Proficient in Google Docs, Google Sheets, Google Presentations and Google Calendar

- Ability to learn new software
- Ability to conduct research and present data in a well-written manner.
- Ability to work independently
- Excellent writing, editing, grammatical, organizational, and research skills.

Qualification Requirement:
- Master’s degree or equivalent experience with social sciences.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

Office Timings:
- Monday to Friday (11:00 AM to 08:00 PM)
- Saturday (11:00 AM to 03:00 PM)
