| Job Description: |
The Supply Officer is expected and required to:
- Provide assistance to PSM Manager in planning and reviewing PR Procurement activities.
- Coordinate and discuss issues related to procurement and supply chain management with PSM Manager.
- Discuss issues pertaining to procurement & supply chain management of Sub recipient, CoPC+ Sites, and AAU Centers.
- Assist PSM Manager to carry out all procurement activities according to the Project Procurement Plan and in line with Global Fund procurement rules.
- Ensuring proper implementation of procurement cycle with complete documentation.
- Evaluating offers quotations and tenders.
- Maintain files and contact details of current and potential vendors for future reference.
- Preparation of draft contracts and Participation in contract finalization discussions.
- Participate in procurement training courses if necessary.
- Liason with Warehouse, CoPC+ Sites, and AAU Centers for an uninterrupted supply chain system while reporting to PSM Manager.
- Reviewing RIV Requests and approving as per need.
- Be in direct contact with sites and warehouse team to check for stock levels, expires, and stock variation and share with PSM Manager and program team.
- Liason with AAUs and Third Party Supply Vendors for any Social Services Supply Issues, Process their bills as per requirement.
- Verifying Vendor Payments and ledgers received from AAUs and processing the payments.
- Reviewing Stock control management measures including storage, retrieval and timely delivery of goods, shipment loading & transferring via approval of Requisitions at CoPC+ Sites & AAUs.
- Liasoning with all service providers relating to AAUs and Warehouse (including Metro, TCS, etc.) for misplaced shipment and raising claims for the lost shipment.
- Implementing logistical decisions for optimized and timely deliveries as per instruction of PSM Manager.
- Coordinating with Sites in optimizing their inventory by maintaining an optimum stock inflow.
- With instructions from PSM Director research and seek out the most cost-efficient shipment procedures and methods
- Oversee inventory details and their usage and report to PSM Manager.
- Assisting PSM Director in forecasting future stock requirements in coordination with the Warehouse team.
- Assisting PSM Director in Procurement documentation and case completion including local procurement and tenders.
