Job Summary:
- Reporting directly to Directors.
- The PA to Directors will provide secretarial support to Directors of Organization and serve as the primary point of contact, internally and externally on all matters pertaining to the Office of the Directors.
Key Responsibilities:
- Provide professional and confidential administrative and secretarial support to Directors.
- Manage Directors calendar and schedules including preparation of agenda / briefings / documents etc required for meetings and appointments.
- Coordinate with head of departments, managers and other staff members to ensure that the tasks assigned by Directors are done timely and accurately.
- Internal and external correspondence including letters, faxes, emails and memos on behalf of Directors as and when required.
- Coordinate with airline offices / Hotels etc; to arrange business travelling, conference / meeting bookings and accommodation for Directors.
- Maintain files and records in an organized and efficient manner.
- Any other task assigned by supervisor(s).
Job Specifications:

- Bachelors / MBA / Master's Degree
- 3 to 5 years relevant experience.
- Very strong interpersonal / organizational skills.
- Ability to perform and prioritize multiple tasks seamlessly with excellent attention to details.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat etc.
- Expert level written and verbal communication skills.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest levels.
- Ability to achieve high performance goals and meet deadlines in a fast paced environment.
Job Description:
- Assist the Directors in all aspects of office routine work and general requirements.
- Answering, screening and directing incoming calls, visitors, correspondence and managing busy call back list.
- Receive and distribute incoming mail.
- Preparation of minutes of meeting, dictation etc and produces document in draft /final format.
- Set up, maintains office files, and records, keep correspondence, and reports available for reference and efficient operation of the office.
- Greet visitors and schedule appointments with Managing director.
- Perform other duties as assigned.
